Minutes of the Annual Meeting Thursday November 30, 2012

The annual meeting was held at Relics Restaurant · 89A

When Nancy received emails initally from those that could make the meeting, we had a quorum. We found out close
to the meeting that LoRee and Gary could not make it. Therefore Bob Berry was able to "attend" by speaker phone.
Bob Martin called the meeting to order at 5:30 pm.
1. RESIDENT LIST UPDATE
Nancy passed around the current Resident List and asked if there were any changes. The list was current for attending
members. For those who were unable to make the meeting, please let Nancy know if you have any additional changes
and if so, the list will be updated and redistibuted.
2. OLD BUSINESS
Bob Martin asked if anyone wanted to discuss anything regarding last years minutes from November 5th, 2011. With
no concerns from members, Nancy motioned we move on and Margaret seconded the motion. All were in favor.
3. TREASURER'S REPORT
Rick stated the current bank balance is $7,875.46. Annual dues of $20 were submitted by Bob Martin, Margaret, Rick
and Nancy, as well as Phillipa and Steve. Carol Wyant mailed hers in before the meeting. Gary delivered his dues to
Rick after the meeting. We are currently waiting for dues from Bob and Donna Berry, as well as LoRee.
4. NEW BUSINESS
Election of Officers
President: Bob Martin stated Bob Berry was willing to remain President and nominated him to continue.
Rick seconded the motion. All were in favor.
Vice President: Philippa nominated Bob Martin remain Vice President. With no objections from Bob, Steve
seconded the motion. All were in favor.
Treasurer: Rick volunteered to continue as Treasurer. The vote was unanimous.
Secretary: Nancy nominated Philippa to take her role as Secretary. Margaret seconded the motion. All were in
favor.
Architectural Committee: Margaret was willing to continue as Architectural Committee. Nancy volunteered to
take a position as well. The vote was unanimous.
Other Topics
The following are suggestions that arose for us to consider. We appreciate feedback on your thoughts:
- Philippa and Steve Atterbury suggested we use a minimal amount of our treasury to clean up common areas and
they will provide estimates from several landscapers. Specifically they would like to have dead cactus removed from
the islands and have the gravel refreshed.
- Nancy suggested adding two inexpensive solar lights to each of the common islands, so that the road would not be
so dark when we come home at night. They would give off a little bit of light and would cost nothing to maintain. She
also wondered if anyone felt some of the trees hanging over the road should be trimmed or clipped as needed.
- Bob Berry mentioned concern over the wear and tear to our road from large trucks and suggested using one
garbage service for all of us, rather than two companies. The plan had been to keep one service for the block, but the
message hadn't been passed on to newer residents. There have been two different trucks coming on different days, as
well as a recycling truck coming up our road weekly. All residents use Northern Arizona Waste Systems, with the
exception of the Thurmans and Atterburys. They have been using Taylor Waste. We agreed to see what the less
expensive service is and for us to all go with that. Nancy made some calls and found out Taylor Waste charges $54.57
every 3 months, which includes a fuel charge. N.A.W.S charges $48 every 3 months without any extra fees. So the
better option would be to for the less expensive service, Northern Arizona Waste Systems. They can be reached at
928-567-0250.
- Bob Berry also mentioned the pothole that has developed on the road on the way down the right side of the hill
between Sheffields and Bob Martin's property. The group thought it would be a good idea to get estimates on what it
might cost to repair the pothole before it gets worse.
- Philippa questioned if anyone ever discussed cleaning up the Loma Topkie entrance. This was not something anyone
remembered coming up. Margaret felt it was fine as is. However, we could weed and remove dead plants in this area
as well. Nancy volunteered to help weeding with the exception of cactus! If any other members would like to
volunteer to help, that would be welcome as well.

there were so many members unable to attend this time. Feel free to email with any of your thoughts on the above
suggestions. I will meet with Philippa to give her our past secretarial documentation & will follow up with any feedback
I receive from any of you on the matters above.
